How this works in practice
At the counter
Scanning a barcode at checkout decrements stock in real time, so the count on the shelf and the count in the system stay aligned without an end-of-day manual reconciliation. Low-stock items trigger an alert visible to a manager rather than being discovered only when a shelf goes empty.
Hardware compatibility
Inventory tracking works with the barcode scanner built into Clover Mini and Clover Station, or an external USB/Bluetooth scanner paired with Clover Flex, Clover Go, or compatible handhelds. Label printers can be added for businesses that need to print their own barcodes on receiving.
Connectivity and offline behavior
Stock counts update over the same connection as sales; if the device goes offline, sales still process and inventory decrements queue locally on supported hardware, syncing once back online. Auto-reorder rules require an active connection to trigger purchase orders.
Staffing and training
Staff need to know how to scan an item and, for receiving, how to log a shipment against a purchase order; setting reorder thresholds, vendor records, and variant structures (sizes, colors) is generally a one-time setup task for an owner or manager.
Migrating your existing setup
If you're moving from another inventory system, product catalogs, SKUs, and vendor lists can typically be imported from a CSV export; on-hand quantities from the old system are usually re-counted at cutover rather than trusted blindly, since counts drift between systems.
